Who we are

Steel Stream Creative Media operates steel-stream.com and provides combat sports photography, photograph licences, design and video services. We are responsible for the personal information we use to run this website and our business. Contact us at ryan@steel-stream.com or through our contact form with any privacy question or request.

Information we collect

When you contact us, we collect your name, email address, message and any optional company or telephone details you provide. When you create an account or place an order, we collect the details needed to manage your account, record your order, issue your licence and provide downloads. Billing and delivery details are collected where required for the order.

We also hold event photographs and associated event and fighter names. Photographs can identify athletes, officials and people attending an event. Event information may come from organisers, public event listings or the people pictured. Our server records technical information such as IP addresses, request times and security logs. Essential cookies support sessions, accounts and baskets; see our Cookies page.

Why we use your information

We use enquiry details to answer your request and discuss a possible booking. We use account and order information to fulfil our contract with you, administer payments, issue licences and provide customer support. We keep appropriate transaction records to meet legal and accounting obligations.

We rely on our legitimate interests in documenting events, maintaining a photography archive, offering relevant photographs for licensing, protecting our work and operating a secure website. We consider the rights and expectations of the people affected. Where consent is needed for a particular use, we request it separately. Sending an enquiry does not sign you up for marketing emails.

Payments and service providers

Payments are processed by Stripe. We receive payment status, transaction references and order information; we do not receive or store your full card number or card security code. Stripe also processes information under its own privacy notice.

We use hosting and technical support providers to operate and secure the site, Dropbox to store and supply photographs, and Google Workspace to handle business email. Information is shared with these providers only as needed for those services. We may also disclose information to professional advisers or authorities where necessary to meet a legal obligation or handle a dispute. We do not sell your personal information.

Some providers operate internationally. Where personal information is transferred outside the UK, applicable data protection requirements must be met, using recognised adequacy arrangements or appropriate contractual safeguards where required. Contact us for information about the arrangements relevant to your data.

How long we keep information

We keep enquiries for as long as needed to answer them and manage any resulting work or dispute. Account, order and licence records are retained for the life of the relevant relationship and any applicable accounting, legal or claims period. Photographs may form part of our continuing event archive while there remains a legitimate photographic or licensing purpose. Security logs and temporary download files are kept only as needed for security, delivery and troubleshooting. Backup copies are retained on a rolling basis and replaced over time.

The time limit for accessing a purchased download is separate from these retention periods and does not end your purchased licence rights.

Your choices and rights

Depending on the circumstances, you can ask for access to your personal information, correction, deletion, restriction of processing or a portable copy. You can withdraw consent for a use based on consent without affecting processing already carried out lawfully. Some records may need to be retained to meet legal obligations or defend a claim.

You have the right to object to processing based on legitimate interests, including the use of an identifiable event photograph. Contact ryan@steel-stream.com with the event, photograph reference or page link so we can consider your request. Please do not send identity documents unless we request an appropriate verification method. If a photograph raises a concern about a child or vulnerable person, please flag that clearly.

Required details and security

We need a name, email address and message to respond to an enquiry. Optional company and telephone fields can be left blank. If required order information is missing, we may be unable to complete a purchase. We use access controls, secure connections and protected backups to safeguard information. Do not include passwords, payment card details or unnecessary sensitive information in a contact message.

Complaints and changes

Please contact us first if you have a concern. You can also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/. We will update this notice when our services or information practices change.
